I am looking for a robust document imaging software system that can handle storage, retrieval and search capabilities for at a minimum accounts payable, contracts and legal documents. The software would set on a server and would be accessable from multiple locations both within the US as well as outside the US. Does anyone have suggestions of software they have worked with; both pros and cons?
Accounts Payable: Looking for a Robust Document Imaging Software
Answers
John,
We use OnBase from Hyland Software to scan, route for approval, and archive our AP documents. We are planning to expand that to cover legal, contracts and potentially areas of accounting. if you would like to discuss the pros & cons, send me a note and I can put you in touch with the right people internally.
Good Luck!
We are implementing V-1 document

I have exactly same questions, I have reviewed few document management systems but it is hard to decide. Is there any comparative study for features, cost, platform etc.
I would be interested in anyone who has used Smart Search for A/P processing. We received a grant for the system and are implementing for A/P work flow. Our A/P person is not happy with it. Says is tedious to view documents (sometimes more than one) onscreen and then at the same time input into accounting software on screen. Not to mention moving documents around is a little slow when scanning and moving to managers' box for review and coding....
I can see using for electronic date storage (i.e all invoices paid etc., contracts and so on but not convinced it is helpful to A/P (other than not losing invoices to someone;s desk which does not happen often anyways).
Any input appreciated!
Kathleen
I saw an excellent demo today on a product called PaperSave Pro. Not sure if it's right for your ERP but it might be worth a look. http://www.papersavepro.com/
Couple of ideas:
1. Does your accounting/ERP vendor partner with any vendors in this space? Some vendors will tie in with both a basic and a sophisticated solution to suit different budgets and needs.
2. Altec has a product called DocLink which has prebuilt links to a number of mid market ERP solutions, together with workflow routing and GL account coding.
3. You may want to consider dual monitors for users who frequently need to access the ERP/CRM system and call up a document alongside. Can be a major productivity creator.
4. Design your future state process first and make sure you know your key requirements

Thanks Len,
I like idea#3 and it might work for her...
we won't be replacing our ERP system anytime soon but if/when we do would investigate thoroughly. We received SS from a grant and it is or can be helpful in other ways and other depts...
